ATS for small hiring teams

Small-team hiring breaks at the handoff. The recruiter knows the candidate is waiting on the hiring manager, the hiring manager thinks the recruiter is chasing, and the shared truth is a spreadsheet last edited on Tuesday. Seats are unlimited even on the free plan, so everyone involved in hiring is actually in the tool.

Short answer

For a small hiring team, the features that matter are shared visibility and pricing that does not punish adding people. Seats are unlimited on the free plan, and paid plans bundle 15 seats at $19 a month or 100 seats at $39 a month, with unlimited candidates and applications on every tier.

Everything runs on one card per candidate per job: the stage, how they arrived, how long they have been waiting, and the integrity result of their last interview.

The handoff problem

Why small teams lose candidates

They lose them to the gap between two people who each believed the other was handling it. Every feature below exists to close a specific version of that gap.

"Who is chasing this one?"One card per candidate per job, with the stage and the days spent in it visible on the card. Nobody has to reconstruct state from a thread.
Shared board
"Did they apply, or did we find them?"The card records how the person arrived: your career page, a CSV import, or added by a recruiter. Those three mean very different things in a first call.
Source on card
"Have we already interviewed this person?"Candidates are deduplicated by email at the company level, so someone applying to three roles is one person with three cards and one history.
One identity
"What happened in the technical round?"The interview is scheduled from the card, and its integrity score comes back to the card. The decision-maker does not have to go find a report.
Result on card
"They applied again, what do we do?"A rejected or hired card is terminal, and reopening it for a new round is a deliberate action rather than something a repeat application does silently.

Seats and cost

What seats cost for a small team

Per-seat pricing makes you ration access to your own hiring data. These are the real numbers here, with no per-user charge within a plan's limit.

Your teamSeats neededPlanMonthlyPer person
Solo recruiter or founder1Free$0$0
Recruiter plus two hiring managers3Free$0$0
Small talent team plus interviewers8ATS Starter$19$2.38
Everyone who interviews, company-wide60ATS Growth$39$0.65

Seats are unlimited on the free plan and included in Starter and Growth up to their limit, so the price follows job count, not headcount. Interview verification is a separate add-on at $5 per completed interview, priced the same on Starter and Growth, with five free to try. See the full price comparison.

Add the hiring manager.

The most common failure in small-team hiring is that the person making the decision never opens the tool, because their login was a line item. Unlimited seats on the free plan removes that argument before you have even paid for anything.

A week on it

What changes day to day

Monday 3 applied overnight Tuesday 2 to phone screen Wednesday interview booked Thursday result on the card Friday who is stuck? Later role closed

A normal week on the board, with nobody chasing a spreadsheet for status.

Monday

Open the board. Three new cards arrived from your career page over the weekend, already on the right job, already deduplicated against people who applied in March.

Tuesday

Move two to Phone screen and schedule both from the card. The candidate gets a join link, the interviewer gets the meeting, and the card shows the time.

Wednesday

The hiring manager opens the same board, sees a card sitting in Onsite for five days, and chases it without asking anyone for a status update.

Thursday

Yesterday's technical round comes back with an integrity score on the card. One candidate scores 94, another 41 with a flagged AI-tool finding to review.

Friday

Decisions. Two move to Offer, one is rejected, the card records it, and the person who applies again next year lands on the same identity rather than a fresh blank slate.

Next month

The role closes. The job drops out of every picker so nobody schedules against it, but stays in the record with its candidates and reports intact.

Decisions with evidence

The cost of a wrong hire on a small team

With three interviewers and no calibration process, one confident opinion carries a whole hire. Integrity findings are the one input that is not an opinion.

What lands on the card

An integrity score for the round and a signed, timestamped report behind it: AI tool activity, hidden overlays, remote-control software, virtual devices, display changes and clipboard metadata, correlated rather than treated as isolated hits.

No screen, audio, video, typed text or clipboard content is recorded. Findings are evidence for a human, and nothing is auto-rejected.

Why it belongs in the ATS

The alternative is a second vendor, a second login and a human copying results between systems, which for a small team means it simply does not happen consistently.

Here the interview was created from the card, so the result has nowhere else to go. More on the integrity side.

FAQ

Small team ATS: frequently asked questions

What is the best ATS for a small team?
One with shared visibility, no per-seat pricing, unlimited candidates, and no implementation project. The InterviewWatch built-in ATS is $0 on the free plan with unlimited seats and two active jobs, $19 per month for fifteen seats and five active jobs, or $39 per month for one hundred seats and fifteen active jobs.
How many people can we add?
The free plan includes unlimited seats. ATS Starter includes fifteen recruiter seats, and ATS Growth includes one hundred, both for a flat monthly fee, so adding an interviewer costs nothing within the plan's limit.
Why is per-seat pricing a problem at our size?
It charges you for the behaviour you are trying to create. When logins cost money, hiring managers stay out of the tool and feedback drifts back into email, which is exactly the failure the ATS was bought to fix.
Can two recruiters work the same pipeline?
Yes. Each candidate has one card per job, so a stage move or a scheduled interview has a single home. Cards carry the source, the time in stage and the last interview result, which is what ends the who-spoke-to-whom guesswork.
Do we need IT to set this up?
No. Jobs, candidates, CSV import, scheduling and reports need no technical work. The only developer-shaped task is pointing your career page at the apply API, and that is optional: you can add candidates manually or by CSV forever.
What if our hiring manager only wants to see one role?
The board is organised by job, so they open the job they care about. There is no per-role permission model, which is one of the simplifications that keeps the tool small.
We already use Greenhouse. Is this useful?
Then skip the pipeline. The built-in board hides itself when an external ATS is connected, and InterviewWatch verifies the interviews your ATS schedules, posting signed reports back onto the candidate there. That path is on Enterprise plans.
