Before you schedule
Two things have to exist first:
- A job (Jobs page): a name and a role, for example Payments Platform plus Senior Backend Engineer.
- A candidate (Candidates page): a name and an email. Candidates are company-wide and can be scheduled against any job.
If either list is empty, the schedule panel says so and links you straight to the page that fixes it.
The schedule panel, field by field
| Field | What it does |
|---|---|
| Candidate | Required. Picked from the company roster, not typed here. |
| Job | Required. Sets the role shown to the candidate and on the report. |
| Date and time | Optional. Leave it blank to create the round now and set a time later. A scheduled round shows on the Calendar. |
| Duration | 30 minutes up to 3 hours. Only sets the end time on the calendar. |
| Meeting link | Your Zoom, Teams, or Meet URL. The candidate reaches it from inside the agent, so paste it here rather than relying on a separate mail. |
| Owner | Required. The interviewer who runs the round and writes the scorecard. Tick Notify interviewer via email to tell them now. |
| Monitor this interview | Turns monitoring on for this round. See below. |
Monitored versus unmonitored rounds
A monitored round asks the candidate to run the InterviewWatch agent. You get a live session view while it runs and a signed integrity report when it ends.
An unmonitored round is just a scheduled interview: a calendar entry, an owner, and a scorecard at the end. No agent, no join link, no report. Use it for recruiter screens and conversations where machine-level monitoring adds nothing.
Getting the link to the candidate
A monitored round produces a candidate join link. Two ways to deliver it, both from the ⋯ menu on the interview row (admins only):
- Send candidate invite emails the join link (and, on an unmonitored round, the meeting details) to the candidate's address on file. It can be re-sent any time.
- Copy candidate link puts the link on your clipboard so you can send it through your own ATS or mail template.
What the candidate then sees is covered in what the candidate does.
Scheduling from the pipeline board
If you run the built-in ATS, click Schedule on a pipeline card instead. It creates exactly the same interview, already stamped with that candidate's job and current stage, and hands you the join link on the spot. The round then counts towards that stage's review, so the board knows what it is waiting for. See the pipeline board.
Interviews cannot be scheduled for a card in Hired or Rejected. Those are decisions, not stages with rounds in them.
Interview states and filters
The tabs above the interview list filter by state:
| State | Meaning |
|---|---|
| Scheduled | A future calendar slot. Nothing has connected yet. |
| Live | The agent is connected and reporting. Open the row to watch. |
| Awaiting | Past the start time and the agent has not connected. Usually the candidate has not opened their link yet. |
| Completed | The session ended and the report is available. |
| Cancelled | Kept for audit, excluded from active metrics. |
| Archived | Hidden from the active list. The record and its reports are preserved. |
The three tiles at the top of the page count the active pipeline, completed rounds, and rounds needing attention. The search box matches candidates, jobs, and roles.
Rescheduling, cancelling, archiving
- Reschedule (admins) changes the date and time. When a time actually moves, you are asked whether to email the candidate, the interviewer, both, or neither. Nothing is sent unless you tick it.
- Cancel keeps the row for audit and takes it out of your active numbers.
- Archive interview hides a finished round from the active list while keeping the record and the signed reports.
- Delete interview keeps the audit row but erases the signed reports. It cannot be undone.
- Add or edit meeting link is in the same menu, for when the call link changes after booking.
